 | [Q] How can I clean up my mailbox?
There a couple of methods to clean up/organize your mailbox.
Summarize Selected Items
This feature essentially "stiches" a series of messages together in one document, which you can then Print or Save as a file to your computer or floppy disk.
You might want to start by "sorting" your messages either by name or subject (click once on bar showing category). Next, select several messages by holding the SHIFT key to select multiple messages, or hold the COMMAND or APPLE key (Macintosh) or CTRL key (Windows). With messages selected, select
CONFERENCING menu then Summarize Selected messages
A new document window opens, and slowly the message header and text information is extracted from the selected messages and appears in the document window. If you have selected a large number of messages, this process may take a few minutes. CAUTION: The summary window is only temporary, and will disappear when closed. You must save or print it in order to keep it! Page breaks are inserted automatically between each message; please keep this in mind if printing!
HINT: You may wish to create a temporary folder into which to put several messages you wish to stitch into a summary. Then, you can "Select All" messages at once using the shortcut in the EDIT menu. Then select "Summarize Selected messages."
This feature may allow you to delete messages more readily, to clean up your mailbox, or essentially archive messages form your MailBox to a floppy or your computer's hard drive. You may also wish to archive a conference (such as a course conference, a committee or other private conference). CAUTION: This process does not also summarize attachments, only message text and the heading (to/from/subject/date) information.
Deleting Messages
You can manually delete messages from your mailbox. Open your mailbox, select the message you wish to remove, choose "Delete" from the FILE menu. To delete more than one message at once, hold down the shift key on the keyboard while selecting the messages with the mouse. Then choose "Delete."
NOTE: this action only deletes your copy of the message from your mailbox, but does not affect copies of the message sent to other people or to conferences.
Creating Folders
You can also organize your mail by creating folders inside your mailbox. Open your mailbox, then from the FILE menu, choose "New Folder". This creates a folder in the top portion of your mailbox. You can name the folder, and assign an icon to the folder by selecting the folder and choosing "Get Info" from the FILE menu. Type in the name you want (eg: My Mail); double-click the folder icon to select a new icon for the folder.
To organize your mail, simply click and drag messages in your mailbox to the folder icon, and release the mouse.
NOTE: saving messages in folders will not protect them from being deleted automatically after 120 days. See also "Mail: Keeping Messages"
